What a WhatsApp CRM actually needs to do
Your sales happen on WhatsApp and your CRM gets updated on Friday from memory. Seven things a WhatsApp CRM must do, and how to spot a broadcast tool.
Most Indian sales teams already run on WhatsApp. The leads arrive there, the negotiation happens there, and the deal closes there. The CRM, if there is one, gets updated on Friday afternoon from memory.
A WhatsApp CRM is the fix for that gap: a customer record that the conversation updates, rather than one somebody has to remember to update. Here is what one actually needs to do, and how to tell a real one from a broadcast tool with a contacts tab.
Why the WhatsApp Business app stops working
Labels, quick replies and a catalogue get a one-person business a long way. Then the second salesperson joins, and the problems arrive together:
- Chats live on one phone. When that person is on leave, or leaves, the history goes too.
- Nobody knows who is handling which customer, so two people reply — or nobody does.
- Labels are not stages. "Interested" on Tuesday says nothing about whether anyone followed up.
- There is no way to ask "everyone who enquired last month and never booked" and get a list.
Moving to the WhatsApp Business API, through a provider, is what makes a real CRM possible. What you are actually buying.
Seven things a WhatsApp CRM has to do
1. Create the contact from the chat
A new number messages you, and a contact exists — with the source, the first message and the time. If someone has to copy the number into a spreadsheet, half of them will not be.
2. Put every chat in one shared inbox
One number, many people, one queue. Every conversation visible to the team that needs it, and not to everyone. What a shared inbox needs to do.
3. Make ownership explicit
Each conversation is assigned to one person or to nobody. "Nobody" should mean something specific — in a good setup, that the AI is handling it — rather than "we are not sure".
4. Track lead stage separately from the chat
New, contacted, qualified, won, lost. A stage describes the person; a conversation is just one event. Mixing them is why WhatsApp-run pipelines never reconcile. Outcome and stage are different things.
5. Show the whole history, not just WhatsApp
The customer also called last week, and emailed a question on Monday. If the CRM shows only the WhatsApp thread, your salesperson is working with a third of the story. Calls, chats on every channel, notes, tasks and stage changes belong on one timeline.
6. Turn a stage into a list
"Everyone at Qualified who has not been contacted in 30 days" should be a filter, not a weekend project. That list is your next broadcast, your next call campaign, your next follow-up. Recovering a quiet enquiry.
7. Answer instantly, even when nobody is free
The lead that waits an hour for a reply has usually messaged a competitor too. An AI chatbot on the number answers in seconds, qualifies, and hands to a person when the lead is ready. Why five minutes decides the deal.
Signs you are looking at a broadcast tool, not a CRM
- The main screen is "campaigns", and contacts are a list you upload.
- There is no lead stage, only tags.
- Calls are not on the record at all.
- Replies to a broadcast arrive as a notification, not as a conversation someone is assigned.
- Billing is per message on top of Meta's charges, which makes every follow-up a cost decision. What drives the WhatsApp bill.
WhatsApp CRM or integration with the CRM you have?
If your team already lives in HubSpot, Zoho or Pipedrive, the question is not which CRM, but where each kind of activity is recorded. Two honest options:
- Conversations in the WhatsApp CRM, deals in your main CRM
- Works when sales conversations and deal management are different jobs, or different people. The WhatsApp side does qualification and first contact; qualified leads move across.
- One system for both
- Works when the same people chat, call and close. Fewer tools, one timeline, no sync to break. This is the usual answer for teams under about fifty people who sell mainly on WhatsApp and the phone.
Whichever you choose, decide it explicitly. The failure is two systems each holding half the history. Choosing a CRM when your team lives on the phone.
How Convarza works as a WhatsApp CRM
WhatsApp, Instagram, Facebook Messenger, your web widget, SMS and email arrive in one shared inbox. Each conversation has the contact record beside it: notes, the last call and how it ended, open tasks, the lead stage. Unassigned chats are the ones an AI chatbot is handling, marked with an AI badge; assigning one to a teammate hands it over.
Contacts have lead stages, attributes you define and an activity feed with every chat, call, meeting and stage change in order. Segments built from those fields feed WhatsApp broadcasts and campaigns that call, message and email. If you also use HubSpot, Zoho, Pipedrive or Freshworks, calls are logged there with outcome, transcript and recording.
