Automating Instagram DMs without sounding like a bot

Instagram lets a business reply but never message first, inside a time window. What to automate, what to leave to a person, and how to follow up.

For many brands in India, Instagram is where customers first ask the question — "price?", "available in M?", "do you deliver to Pune?" — usually in a DM or a reply to a story, often late at night. And for many brands, those DMs are answered by whoever owns the phone the account is logged into, when they get round to it.

Automating Instagram DMs is less about the bot than about the rules Instagram plays by. Here is what you can automate, what you cannot, and how to set it up so the customer gets an answer instead of a canned "thanks for reaching out".

What Instagram lets a business automate

Through Meta's official messaging API, connected to an Instagram professional account, you can automatically answer:

  • DMs — any message a person sends you.
  • Story replies — a reply to your story arrives as a DM.
  • Ice breakers — suggested first questions a new visitor can tap to start a chat.

Comments on your posts are a separate surface. Some tools turn a comment ("comment PRICE") into a DM; that is a comment-automation feature, and it is worth knowing whether the tool you choose actually does it, or only handles the conversation once it is a DM.

The rules that shape everything

You cannot message first

Unlike WhatsApp, Instagram has no approved-template route for starting a conversation with someone who has not messaged you. Every automated DM is a reply. That makes getting people to send the first message — a story with a question sticker, a "DM us for the size chart" line — the real marketing job.

Replies have a time window

Instagram allows a business to reply within 24 hours of the person's last message. Meta allows a longer window for human agents responding to an ongoing support issue, but automated replies sit inside the 24 hours. An unanswered DM on Friday night is not one you can automate a reply to on Monday morning.

Keep it in the conversation

Instagram rewards brands that answer; it does not reward brands that send everyone a link to a website. A bot that answers the actual question in the DM keeps the sale on the platform where the customer started it.

What to automate first

  1. The top five questions. Price, size and stock, delivery areas and times, returns, how to order. Most Instagram DMs are one of these, and all have known answers.
  2. Story replies. When a story with a product gets a reply, the context is the product. A bot that answers about that product, not a generic greeting, converts the reply.
  3. After-hours. The DMs that arrive at 11pm are the ones nobody answers, and they are often the most ready to buy. What to answer after hours.
  4. Booking. Salons, clinics, studios and consultants can let the bot offer real slots and book one inside the DM. Letting a bot book a slot.

What to leave to a person

  • Complaints and anything that sounds angry. A bot that apologises fluently and fixes nothing makes it worse.
  • Influencer, collaboration and wholesale enquiries.
  • Custom orders and anything involving a price the bot does not know.
  • Anyone who asks for a person — the first time.

Write those as handover conditions so they reach a teammate with the whole thread, not a fresh "how can I help?". When an agent should stop talking.

The mistake that costs the most: Instagram on its own island

The same customer who DMs you on Instagram tonight will WhatsApp you tomorrow about delivery and call when the parcel is late. If each channel has its own tool, its own bot and its own inbox, your team sees three strangers.

Two things fix that. One bot pointed at every channel, so the answer about returns is the same on Instagram and WhatsApp. And one inbox with one contact record, so whoever picks up the WhatsApp chat can see the Instagram conversation that started it. Omnichannel versus multichannel.

Moving the conversation to WhatsApp

Instagram's 24-hour window and no-first-message rule make follow-up hard. WhatsApp allows you to reach someone later with an approved template, if they have opted in. So for anything with a long tail — a delivery, a booking reminder, a restock — it is worth the bot asking, "Shall I send updates on WhatsApp?" and capturing the number with consent.

Setting it up in Convarza

  1. Connect Instagram with Facebook sign-in. You need a professional (business or creator) account, and message access for connected tools turned on in the Instagram app.
  2. Build an AI chatbot — instruction, first message, knowledge base with your catalogue facts and policies, handover conditions — or point Instagram at the bot you already run on WhatsApp.
  3. DMs and story replies arrive in the shared inbox alongside WhatsApp and your other channels. The bot handles unassigned chats, marked with an AI badge; assigning one to a teammate takes the bot out.
  4. Each DM creates a contact by default, so the Instagram history follows the customer to every other channel. You can switch that off per channel.

Convarza handles DMs and story replies; comments on posts are not conversations in the inbox. See how D2C brands run Instagram and WhatsApp together.

Questions

Questions people ask

Is Instagram DM automation allowed?

Yes, through Meta's official messaging API and tools connected to it. Unofficial tools that log in as you or scrape your inbox risk the account; use one that connects through Meta.

Can I send bulk DMs on Instagram?

No. Businesses can only reply to people who messaged them, inside the allowed window. For messages you start, WhatsApp templates or email are the channels.

Do I need a business account to automate DMs?

You need an Instagram professional account — business or creator — connected through a Facebook login.

Can one chatbot answer Instagram and WhatsApp?

Yes, on platforms that separate the bot from the channel. In Convarza one bot can answer Instagram, WhatsApp, Facebook Messenger, your web widget and email at once.
